II. ORGANIZATIONAL CONTEXT AND SCOPE

Under the overall supervision of the Chief of Mission and the direct supervision of
the Resources Management Officer, the successful candidate is responsible and
accountable for handling the procurement and logistics activities of IOM Dominican Republica Country Office.

III. RESPONSIBILITIES AND ACCOUNTABILITIES
1.Make quotations for purchases of materials, supplies, spare parts, furniture and equipment, in accordance with the specifications and characteristics provided by the applicant and duly authorized, adjusting to the budget and complying with the procedure defined by the IOM and the respective donor.

2.Execute procurement processes for small purchases ensuring full compliance with the rules established in the Procurement Manual.

3.Read and process e-mail correspondence regarding issues related to the Procurement Unit.

4.Send via email or e-mail the authorized purchase orders to suppliers and confirm their receipt.

5.Attention to suppliers for issues inherent to negotiations, overdue portfolios, blocking of shipments due to non-payment, etc.

6.Provide the person responsible for inventory all the necessary information for the inclusion of the purchased good within the inventory system of the Organization.

7.Follow up on the status of the purchase order/contract, and verification of the delivery of the requested orders.

8.Qualify suppliers according to quality, timeliness and price parameters defined by the Organization.

9.Support in the selection of the three best suppliers according to the purchase to be made and prepare a comparative table indicating the respective recommendations on the best proposal.

10.Regularly update the database of suppliers, prices per supplier for the various materials and equipment purchased by the Organization.

11.Maintain and update the processes in the PRISM system of the Logistics Module.

12.Strictly comply with IOM procedures, regulations and standards of conduct.

13.Support the Area Coordinators in the administration, management and results in the execution of acquisitions made for the development of activities and projects.

14.Provide effective support in any eventuality that requires a variant in the elaboration of the requirements and if this is the case, immediately coordinate the most optimal solution that does not affect the normal fulfillment of the goals set.

15.Collect and consolidate the information and documentation of the procurement processes and their respective transactions.

16.Provide occasional support to drivers when approved by their supervisor.

17.All those functions that according to their capabilities are entrusted to them by the supervisor, RMO and the COM.

IV. REQUIRED QUALIFICATIONS AND EXPERIENCE EDUCATION
– Professional in Business Administration or Accounting.
– Knowledge in SAP – Logistics Module is preferred.
– Knowledge in procurement of goods and services is valued.

EXPERIENCE
a. Minimum one (1) year of experience in administrative processes.
b. Experience and knowledge in emergency process assistance for immediate procurement.
